Your group has bought the trip, boarded and is about to arrive in Porto Alegre, Gramado or the Serra Gaúcha. The question that decides whether the trip goes well is a simple one: who is waiting for this group on this side?
This work has a name: receptivo (ground handling at the destination). Whoever organises a trip in another state hires someone at the destination to receive the group, and that arrangement is between companies, not between the agency and the passenger.
What usually goes wrong when a group arrives without local support?
Almost never anything catastrophic. What happens is worse in another way: the group loses time.
It loses half an hour looking for somewhere the coach can pull in. It reaches an attraction on the day it is closed. It finds that the restaurant booked cannot serve forty people at once. It takes an hour over a twenty-minute journey because nobody knew about the diversion. Add all that up over a four-day itinerary and the group goes home thinking the trip was rushed, when the problem was logistics.
Local knowledge does not appear in the quote, and it is exactly what is being bought.
Who hires ground handling: the passenger or the agency?
The agency, or whoever is organising the trip. The passenger usually never learns that two companies are involved, and that is how it should be: the group remains the group of whoever sold it.
That is why ground handling is rarely advertised as a shop-window product. It is agreed between operations, usually by WhatsApp, with the design adjusted to what that specific group needs.
My agency is from another state. Can I hire ground handling here?
You can, and it is the most common case. Ground handling exists precisely for the agency that sold the trip elsewhere and has no team at the destination. It is an arrangement between companies, and the group remains the group of whoever sold it.
No prior relationship is needed, nor operating in the same segment. You need to say where the group is coming from, where it is going, how many people and how many days. Who signs this operation here in the state is just below.
Does ground handling replace the guide who came with the group?
It does not have to. In most operations, the escort who came with the group remains the familiar face, the person the passenger asks things of, and the ground handler comes in as the structure behind: who knows the terrain, who sorts things out with local suppliers, who has the number of whoever needs to respond.
When the sending agency prefers not to send anyone, the ground handler also takes the front line and accompanies the group for the whole stretch. Both ways work, and the choice belongs to whoever organises, not whoever receives.
In which regions of Rio Grande do Sul can a group be received?
The area covered is the capital and its surroundings, plus the route through the serra that ends in Gramado and Canela. It is not a marketing cut: it is the stretch the operation covers all year round on its own departures, where suppliers have been tested on real trips.
Outside that area, assessment is case by case, and the answer may be no. A company that accepts groups in any corner of the state either has a far bigger network than it says or will improvise on the day.
Does ground handling also cover local transport?
It does, and it is the most frequent request from those arriving by air or reaching the state border without their own vehicle. The coach charter is intermediated through partner operators and coordinated within the same operation, which leaves the sending agency with one point of contact instead of three.
Anyone wanting to understand what the law requires of this transport, which documents to ask for and how to check the company's authorisation will find the details in how to charter a coach for an excursion.
How do I request ground handling without a finished itinerary?
Ask anyway. A good share of requests arrive with a date, a city and an approximate number of people, and the itinerary comes out of the conversation precisely because whoever is at the destination knows what fits in a day and what does not.
Arriving with a fixed itinerary built from afar usually creates more rework than arriving with the intention and leaving the design to whoever knows the real distance between one point and another.
How can I check whether the company that will receive my group is regular?
Through the public search of Cadastur, the Ministry of Tourism's register, at cadastur.turismo.gov.br. Travel agency is one of the categories with mandatory registration, so the company receiving your group must appear there. If it does not, ask before sending people.
When the operation includes a coach on an interstate trip, the second document is the operator's authorisation with the Agência Nacional de Transportes Terrestres, which requires the Termo de Autorização de Fretamento (charter authorisation term) and the issuing of a Licença de Viagem (trip licence) before each journey.

The two brands, and who signs the operation
Mundo a Passeio is the brand that sells group departures to the passenger. Whoever signs the operations contracted by third parties, both the ground handling and the coach intermediation, is the partner agency Guatambu Travel, with eight years on the road: its ground handling page, at guatambutravel.cc, is addressed to your agency and not to the passenger, and the service is detailed in ground handling for groups.
In practice, whoever contacts either of the two reaches the same network of partner companies in Rio Grande do Sul. Anyone who wants to see how these groups are led before deciding can look at the record of trips already made, which is the same standard applied to the group of whoever hires.
